User Portal Configuration
Once we have configured the Service module and the Users it is very important to set up the User Portal.
An ergonomic and easy-to-use portal, with a captivating design is a good visiting card of our service!
The end user portal can be configured from the menu System > Portal.
Here we can find the 3 items to configure the portal:
- Group: to configure the groups of the requests displayed on the portal.
- Request: to configure the requests displayed on the portal.
- Operation: to see the Service Operation in the portal and to configure their grids and the forms.
If some term is unknown, we recommend to read the introductive guide of the user portal.
Creating a new group inside the portal, means organizing the portal in different sections, to make navigation easier to the users.
To insert a new group, click the button Add Portal Group.
We can see the form to insert a new group into the portal.
The meaning of the fields is:
|Name||The name of the Group that will be displayed inside the portal.|
|Status||If the group is enabled or not. If we choose not to enable a Group, it will be hidden and not visibile inside the portal anymore.|
|Position||With this numeric field we can sort the groups inside the portal.|
|Portal Requests||All the requests grouped inside the Portal Group. The Request can be configured from the menu System > Portal > Request.|
Portal Requests represent the types of requests visibile inside the portal.
Usually there is correspondence one-one between Service Types and Portal Requests, but Portal Requests can have a different name and description in order to be more understandable by users.
For example, if we call internally all failures as “Incident”, we can expose them to the portal with the description “Errors” and give a description of what we mean with “Errors” in order to guide the users to choose the right portal request type.
Companies that use DeepDesk to manage more services can also define more Portal Requests for the same Service Type.
For example, if we want to categorize in the back-end all the failures as “Incidents” (eg: to measure all the failures) but we manage with DeepDesk a Facility Service and also an IT Support Service, we would expose them in the portal as different portal requests: one dedicated to the Facility and one to the IT Support. We could also create two different Portal Groups.
To insert a new Portal Request, as usual, selct the corresponding menu and click the button Add Portal Request.
We will see the Portal Request form.
The meaning of the fields is:
|Name||The name of the Request that will be displayed on the user portal.|
|Type||The type of the Service Operation linked to that request (eg: Incident or Request).|
|Template||The form template used to display the form.|
|Icon||The icon displayed on the portal.|
|Portal Groups||Under which Portal Groups the users will find the Portal Request.|
|Description||A description displayed on the portal. This field can be formatted with HTML code, using the visual editor of DeepDesk.|
The item Operation is used to configure grids inside the user portal.
Here, we can create new grids accessible by the end users.
